EVENT SUPERVISOR – TEMPORARY

Initially a temporary post, which may lead to permanent employment.

Working Hours: 25 Hours p/w over 5 shifts (On a Rota System, including weekends and evenings)

Job Description

To assist with the management of the conferencing business to include taking bookings and completing relevant paperwork.

Meeting with existing and potential customers, to negotiate and quote for services.

Ensure conference rooms and auditorium are prepared as required for events.

Fulfil the duties of Front of House Manager during an artistic production in the auditorium.

To include the supervision of Front of House Ushers.

To work closely with the Event Management staff to ensure the smooth running of South Mill Arts whilst on duty, taking responsibility for events including the operation and delivery of the bar facility.

Supervise the bar staff whilst on duty and ensure appropriate staffing levels are met for the event function in conjunction with Event Manager.

Undertake the efficient operation of the bar systems to include cleanliness and replenishment of stock.

To operate the bar facility when necessary and ensure good housekeeping at all times.

To operate the till systems both on reception and bar and to reconcile takings at the end of your shift.

Undertake reception duties to include the box office operation using TicketSolve Ticketing System.

To take full responsibility for health and safety issues whilst on duty, including the evacuation of the site and necessary first aid.

Appraise visiting companies of fire safety procedures and to make regular checks that fire exits are clear and fire exit doors are closed.

To promote and market South Mill Arts and promote our activities.

To act as a key – holder and ensure that the building is correctly alarmed and closed securely at the end and beginning of shifts using the correct procedure at all times.

To assist with manual handling and housekeeping tasks this will require some lifting and carrying.

Carry out any other duties that may be required.

PERSONAL SPECIFICATION AND SKILLS

Essential

Motivated, strong team player with supervisory experience.

Strong interpersonal skills with the ability to confidently develop working relationships within the team at South Mill Arts.

Excellent customer care skills with experience of working within a customer focused environment.

Time management and organisational skills with the ability to work effectively under pressure and to tight deadlines.

Excellent IT skills to include the use of Word and Excel and the ability to learn booking and ticketing systems.

Cash handling and till reconciliation.

Desirable

Personal Licence Holder Holder of a clean UK driving licence.

Recognised First Aid Certificate.

TRUSTEES AT SOUTH MILL ARTS

South Mill Arts is a thriving centre for heritage, arts, cultural and social activities for the community of  Bishop’s Stortford and the surrounding area. As we move into an exciting phase of potential development, the Board is seeking to appoint new trustees who are inspired by our CIO’s objectives and future plans. We want you to bring your enthusiasm, expertise and creativity to further enhance and sustain our work at South Mill Arts.

We are particularly looking to add the following areas of expertise to our CIO Board:

  • Heritage and arts management
  • Fundraising
  • Digital Marketing
  • Stakeholder and cultural engagement
  • Financial management
  • Facilities management

We welcome candidates who are team players and have skills and a positive attitude that they think will provide a value added contribution to South Mill Arts as a member of the Board of Trustees.

SHOUT OUT FOR VOLUNTEERS

We are currently looking for volunteers to join our Trustee Action Group who are managing our recent application to the Town Council for a £2.5 million grant for refurbishment and development of South Mill Arts.

We are looking for expertise in site project management as well as experience/knowledge in mechanical and electrical engineering for the future development of the site.
